Simon Package Tracking We added package tracking to Simon way back at the beginning of Version 3. This time around, with Version 4, we have added the ability to give package receipt notices by email to your boxholders. The image above shows you what the Package Tracking first page looks like. Upon opening the Package Tracking form, you will find a list of packages that have been entered into package tracking that have not yet been picked up. You can change this screen to show all packages and only those packages that have been picked up by making that choice in the upper, right area of the form. You can also refine the list only to show a package that you might want to find in the event the list is longer than what you can see easily. At the bottom, there is a short list that allows you to review all of the information about the package that you have chosen from the list. Buttons at the bottom include, adding a new package to the system, deleting a package from the system, printing a list of packages in the system, and the Simon help article for this form. If you click on the Pencil button to add a new package, a list of your boxholders, spouse, other names they might be using, other mail recipients and the names they might otherwises use. You should match up the name on the package to where it should be delivered, click on the name on the list, and then go to General Information. In this example, I will choose Walter Addison from the list. Now, on the General Information page, you will see that Walter Addison is listed as the person who is to receive the package. Also, the telephone number and email address will be listed here if there is one to list, and the date when the package was received. If you continue to the Package Information area, you can describe the package so that it will be easier to find in the back room and to note any blemishes on the package so that any claim of damage might be thwarted if the boxholder were to make claim against your business. It might be easier to claim that the damage was prior to arrival at your business if you remark here that the package was damaged before arrival as I have done here in this example. You can continue to the Carrier Information once you are satisfied with what you have written to describe this package. On the Carrier Information page you can note who the carrier is, the service used, any money due and whether it was paid by the store and needs to be collected, and the tracking number on the package. Once you have done all of this, you will want to go back to General Information and print a notice which should be placed in the appropriate mail box. You can also call the boxholder or recipient, or even send an email. When you give notice, send an email or make a call, you can add the date of when this was done on the General Information page. Simon will add the date automatically whenever possible. When the recipient comes in to pick up the package you can do a discliamer to help protect yourself. When working with boxholders, some of the forms that will be opened in Simon will be proceeded with a warning that a package is in the backroom and should be picked up. Hope this helps! |
